What Is the Employees' Provident Fund (EPF)?

The Employees' Provident Fund (EPF) is a mandatory savings scheme established under the Employees' Provident Funds and Miscellaneous Provisions Act, 1952. Step-by-Step EPF Registration Process

Step 1: Visit the EPFO Unified Portal

Go to unifiedportal-emp.epfindia.gov.in and click on "Establishment Registration" under the OLRE (Online Registration of Establishments) section.

Step 2: Create an Account

Enter the employer's mobile number and email ID to generate an OTP. After verification, set up login credentials for the establishment.

Step 3: Complete the Establishment Details Form

Fill in the following details:

  • Name and type of establishment (factory, shop, commercial establishment)
  • Date of incorporation / setup
  • Date of employing 20 or more employees (applicable date for mandatory registration)
  • PAN of the establishment
  • Registered and business address
  • Nature of business activity (with NIC code)

Step 4: Add Employer/Signatory Details

Enter the details of the authorised signatory (employer/director) — name, designation, DIN (if applicable), PAN, Aadhaar, and contact details.

Step 5: Upload Required Documents

  • PAN card of the establishment
  • Certificate of Incorporation / Partnership Deed / Trust Deed
  • Address proof of the establishment (utility bill, lease agreement)
  • Digital Signature Certificate (DSC) of the authorised signatory
  • Cancelled cheque or bank statement of the establishment bank account
  • List of employees with their Aadhaar, PAN, bank account, and salary details

Step 6: Submit and Receive Registration Number

After submitting the form with all documents, the EPFO processes the application and issues a unique Establishment Code Number. This typically takes 3-7 working days.

Universal Account Number (UAN)

Once the establishment is registered, each employee is assigned a Universal Account Number (UAN). The UAN is a permanent number that remains with the employee throughout their career, even when they change jobs. It links multiple Member IDs (from different employers) and enables employees to:

  • View their EPF passbook online
  • Track contribution history
  • Submit EPF withdrawal/transfer claims
  • Download UAN card

Monthly Compliance: ECR Filing

The employer must file the Electronic Challan cum Return (ECR) on the EPFO portal every month. This includes:

  • Monthly contribution details for each employee
  • Basic wages and DA for each employee
  • EPF, EPS, and EDLI contribution breakdowns

The ECR must be filed and the challan paid by the 15th of each month for the previous month's wages. For example, April wages' contribution is due by May 15.
